Job Summary:

Provides hands-on service, planning, and supervision of circulation services and operations. Hires, trains, supervises, and provides leadership to student employees in circulation services. Maintains and updates patron records and circulation functions in the Alma library system including reports, inventory, reserve materials, and interlibrary loans. Provides excellent customer service and collaborates with library staff to support our mission and vision.

Reports to: Watson Library Director

Duties and Responsibilities:

Customer Service

  • Provides excellent customer service to all patrons of the library including students, faculty, and staff on campus, as well as alumni, community, and Quaker research patrons face-to-face, on the phone, and through email.
  • Monitors the circulation desk schedule to ensure circulation desk coverage during all hours of operation.
  • Follows and applies library policies when providing customer service.
  • Assists patrons with standard library questions such as use of the catalog, location of materials in the library, how to use the printers, etc.
  • Refer complex reference questions to a staff librarian.
  • Communicates library hours to campus community, including maintenance to adjust door proxy settings in alignment with library hours.
  • Facilitates the opening of the library each operating day.

Supervision

  • Interviews, hires, trains, supervises, and provides leadership to the circulation student employees.
  • Develops and implements effective training for circulation student workers.
  • Establishes student work schedule on a semester basis and adjusts scheduling as needed to accommodate worker and circulation desk coverage needs.
  • Coordinates library and work-related communications with student workers.
  • Reviews, processes, and tracks all circulation student worker timecards and hours.
  • Develops, updates, and maintains the handbook for circulation library student workers.
  • Evaluate circulation student workers on a regular basis to provide guidance on improvement as necessary.

System

  • Oversees and coordinates the daily circulation related functions of the Alma library system including: checking in/out materials, printing of paging slips, and maintaining the holds shelf.
  • Creates overdue reports on a regular basis and notifies patrons of overdue materials.
  • Creates invoicing and communications for items in a billed status.
  • Performs institutional overdue process in conjunction with OhioLINK libraries.
  • Maintains and updates patron records in the Alma library system in coordination with IT.
  • Maintains confidentiality with all student and patron records.
  • Serves as contact between Watson Library and other libraries when issues with patrons and materials arise or through regular issue reporting processes.

Reserves

  • Maintains courses in Alma for inventory of reserve materials.
  • Communicates with faculty regarding materials they have on reserve and items that they request to be placed on reserve.
  • Coordinates reserve materials processing to ensure a timely process for reserve materials.
  • Organizes and maintains the reserve materials behind the circulation desk.

Consortia

  • Participates in and is the consortia liaison for OPAL and OhioLINK circulation meetings.
  • Monitors and participates on the OhioLINK PCIRC and resource sharing listservs to request and provide shipping materials for the purpose of OPAL, OhioLINK, and SearchOhio lending.
  • Communicates library hours of operation and closings to OhioLINK and courier service.
  • Reports courier issues through OhioLINK.

Administrative

  • Plans and implements library displays for books and information.
  • Oversees library mail pick-up and delivery daily.
  • Oversees maintenance of stacks, including proper shelving, shelf reading, and maintaining neat and organized shelves.
  • Monitors library and office supplies, notifying when supplies are low.
  • Troubleshoots issues with office equipment, contacting IT or the copier vendor as needed.
  • Submits tickets for assistance with maintenance related issues.
  • Communicates all circulation related needs, concerns, and initiatives to the Library Director, as well as the library staff.
  • Performs other duties as assigned.

  • Ability to provide effective leadership to student workers.
  • Ability to maintain confidentiality with student records.
  • Must be able to prioritize tasks and stay organized.
  • Ability to represent Watson Library and Wilmington College well to Consortial connections.
  • Ability to work independently with minimal supervision.

Qualifications

  • Bachelor's degree preferred. High school degree with equivalent combination of education and experience will be considered.
  • One or more years of supervision or management experience demonstrating leadership ability.
  • Excellent customer service skills.
  • Exceptional organizational skills and attention to detail.
  • Strong communication skills to communicate to a diverse population via phone, email, and in person.
  • Understanding of and comfort with basic technology and office software (e.g., Microsoft 365).
  • Experience with providing customer service to a variety of people, including college age students through senior citizens.
